Introduction
Hudson Institute of Medical Research (ABN 48 132 025024) (“Hudson”), affiliated with Monash University, is subject to privacy legislation at both Commonwealth and State level, including the Privacy Act 1988 (Cth) and the Privacy and Data Protection Act 2014 (Victoria). We value your privacy and are committed to protecting the personal information we collect and retain from you. The RNAte platform is established as part of the Technology Platforms and Capabilities under Hudson Institute of Medical Research.
This document outlines how personal information is recorded via the Hudson/RNAte website, including e-newsletters signed up via the website.
COLLECTION OF INFORMATION
What is your personal information?
When used in this privacy policy, the term “personal information” has the meaning given to it in the Privacy Act 1988. In general terms, it is any information that can be used to personally identify you. This may include your name, address, telephone number, email address and profession or occupation. If the information we collect personally identifies you, or you are reasonably identifiable from it, the information will be considered personal information.
What personal information do we collect and hold?
We may collect the following types of personal information:

- your contact information, such as your email address, telephone number or postal address;
- details you provide to establish and manage your account to use and receive the Hudson/RNAte;
- any additional information relating to you that you provide to us directly through our websites or indirectly through use of our websites, social media or online presence, through our representatives or otherwise.
How do we collect your personal information?
We collect your personal information directly from you unless it is unreasonable or impracticable to do so. When collecting personal information from you, we may collect in ways including:
- through your access and use of our websites; and
- during interactions between you and our staff.
We may also collect personal information from third parties including from law enforcement agencies and other government entities.
What happens if we can’t collect your personal information?
If you do not provide us with the personal information described above, then we may not be able to provide you with certain information, products and services, either to the same standard or at all.
Information automatically logged
We may also collect some information that is not personal information because it does not identify you or anyone else. Our website: https://RNAte.com.au is hosted in association with Monash University. When you visit our website, the University and domain host may make a record of your visit and log any of the following information for statistical and business purposes: the user’s address if provided, the user’s domain name, IP address, the date and time of the visit, the pages accessed and documents downloaded, keywords you search, the previous site visited and the type of browser used. Identification of the user may also be requested and logged. These statistics are gathered so we can improve our website for future visitors.
Security of information
We have security measures in place against the loss, misuse and alteration of information. A login name and password are required to visit secure areas. We may hold your information in either electronic or hard copy form. Personal information is destroyed or de-identified when no longer needed. This will be reviewed under client relationship management every 3 years.
We take all reasonable steps to ensure the security of the personal information we hold from un-authorised access, modification or disclosure. We maintain physical security over our paper and electronic data stores and premises, such as locks and security systems.
Your personal information may be stored in hardcopy documents, as electronic data, or in Hudson/RNAte software or systems. We maintain computer and network security; for example, we use firewalls (security measures for the Internet) and other security systems such as user identifiers and passwords to control access to our computer system.
If you send us an e-mail and sign up to our newsletter, your e-mail address (together with any other information you provide) will only be used for the purpose for which you have provided it, except where you give consent. Hudson/RNAte aims to provide a secure online environment and while reasonable steps are taken to protect the personal information you provide and we hold, from misuse, loss, un-authorised access or disclosure, there are risks associated with the transmission of information via the internet.
However, since our websites are linked to the internet, and the internet is inherently insecure, we cannot provide any assurance regarding the security of transmission of information you communicate to us online. We also cannot guarantee that the information you supply will not be intercepted while being transmitted over the internet. Accordingly, any personal information or other information which you transmit to us online is transmitted at your own risk.

For what purposes do we collect, hold, use and disclose your personal information?
The personal information you supply online will be used by staff in conducting the activitis of the RNAte platform. Such uses may include matters related to donations, administration, provision of services, marketing and the dissemination of information.
We may also use your IP address to help diagnose problems with a server and to administer our web site. Your IP address is sometimes used to set up individual sessions to provide secure logins.
In particular, we collect, hold, use and disclose your personal information for the following purposes:
- to send communications requested by you;
- to answer enquiries and provide information or advice about our products or services;
- to assess the performance of our websites and to improve the operation of the websites;
- to conduct business processing functions (for example processing donations) including providing personal information to our related bodies corporate, contractors, service providers or other third parties;
